Why This Role Matters

 

As our Event Operations Manager, you own the entire production process—from design and logistics to execution. Your role ensures every detail, from check-in stations to main-stage presentations, contributes to a high-impact event experience. By transforming empty spaces into engaging environments, you’ll captivate industry leaders and elevate the standard for professional gatherings.

 

Key Responsibilities

 

  • Own the Full Production Cycle: Drive the creation, management, and execution of event timelines, ensuring seamless alignment between teams and suppliers
  • Transform Spaces into Experiences: Oversee all aspects of event production, including venue relationships, stage builds, exhibitor layouts, on-site signage, event staffing, food & beverage (F&B), and other details, infusing a compelling sense of story and brand identity
  • Ensure Operational Excellence: Maintain precise budgeting, scheduling, and compliance. Guarantee health and safety standards and champion top-quality materials, designs, and services
  • Tough Negotiator: Leverage strong negotiation skills to reduce costs, delay payment schedules, minimize room block requirements, and optimize financial efficiency without compromising quality
  • Adaptability: Respond in real time to on-site challenges, approve last-minute changes, coordinate with contractors, and ensure smooth exhibitor installations
  • Continuous Improvement: Gather feedback from attendees, sponsors, and team members to drive future enhancements and push the boundaries of event experiences

 

Pre-Event Responsibilities

  • Maintain and distribute production schedules and contracts
  • Manage the design, production, and delivery of key event components:
  • Registration
    • Food & Beverage (F&B)
    • Venue Liaison
    • Stages
    • Exhibition Layouts
    • Internal and External Signage
    • Print Materials
    • Event Staffing
    • Event Host City Relationships
  • Source venues and manage health and safety requirements
  • Support the Sales Director with the design, production, and delivery of all sponsored areas
  • Handle administrative tasks such as preparing documents, team communications, data monitoring, and compiling reports
  • Maintain and manage the live budget throughout the planning process, reconcile post-event finances, and close financial books efficiently
  • Handle and file booking confirmations and invoices while tracking them within the live budget
  • Conduct research and obtain quotes for suppliers, venues, staffing, and other requirements
  • Manage relationships with external suppliers to build long-term positive partnerships
  • Propose creative ideas to enhance the attendee, exhibitor, and sponsor experience

 

Onsite Event Responsibilities

 

  • Act as the primary point of contact for all build contractors, signing off on any onsite changes or updates
  • Assist the leadership team and Sales Director in delivering excellent customer service to attendees, exhibitors, and sponsors
  • Oversee health and safety for the event site, ensuring a safe environment for staff, attendees, exhibitors, and sponsors
  • Manage the exhibition installation process to ensure smooth setup and live-show operations
  • Conduct regular check-ins with onsite departments to ensure readiness and resolve any issues
  • Inspect all areas of the build, signing off with contractors before doors open to exhibitors or attendees
  • Collate feedback and report any issues or problems to improve future events

 

What Makes You a Fit

 

  • 3+ years in event operations or event production management—preferably at large-scale events
  • Experience in a production or event operations manager level for conferences and tradeshows that have been held in New York, Las Vegas and or Miami
  • A proven history of curating top-tier experiences by blending creativity with systematic efficiency
  • Excellent cross-team communication skills, budget management prowess, and a calm, solutions-focused attitude under pressure
  • Experience with AI tools a bonus
